Surge Protection
With the chronic power problems in today
s office and home environment, you may want to consider a quality power surge protector. Generally, the strips available at your local discount or electronics store don
t offer a warranty on the products connected to them, nor are they sufficient to protect a computer from a surge, even the gentle ones occasionally generated by your utility company. It takes little more than a voltage spike of 140V AC to fry a motherboard. We s
trongly urge you at the very least to install surge protection that offers a warranty for the machines protected. Yes, they cost more -- but they give more.
Surge protection only really protects you from what the power company can do to your line voltage. A nearby lightning strike can generate a strong enough spike to literally jump across an on-off switch and fry your components. Even if the surge protector is turned off, the equipment can be toasted. Look closely at the warranty. I
f your site is prone to brown outs or power blackouts, you may want to consider an uninterruptable power supply (UPS). Large UPS systems can keep you up and running for hours after power loss. Ideally, you need just a few minutes of backup time to save your work and shut down properly. An additional benefit of a UPS system is that it depends upon the equivalent of a car battery for backup power. Should a lightning strike or a catastrophic utility snafu occur, the battery sucks up the s
pike, protecting the downstream equipment. Nothing is perfect, but this is close. Typically, a UPS should offer a guarantee covering the cost of the equipment protected (say $10,000 to $25,000).
One more thought about power protection. Any modem connections that rely upon existing phone lines should also use surge protectors. This is a common
back-door
for lethal power surges, blowing both the modem and the computer to which it is attached. Fax, specialty phones and answering machi
<nes are similarly at risk. Most quality surge/UPS devices include modem protection. Note that most laserprinters (and copiers) draw excessive power, so small UPS units are unsuited for protecting these printers. Use a quality surge strip for these devices.

Changing Application RAM memory allocations...
Do you sometimes get out-of-memory error messages, Type 1 or Type 11 errors? These errors can occur due to bugs in the operating system version or program you are using, or a lack of RAM memory installed in the Mac. Sometimes, it has nothing to do with how much actual RAM you have installed on your Mac, but rather how much memory is dedicated to an application. Here
s some background: when you double-click on an application, or a file crea
ted by that application, the application will launch (or, load into memory). When the application launches, it asks the operating system to reserve a certain amount of RAM just for it and it
s files. This is a fixed amount of RAM. If the amount is too small, and the application encounters a situation where the file it is working on needs more RAM than is available to the app, you
ll (hopefully) receive one of the above error messages and be able to shut down with little or no loss of in
formation. If you aren
t so lucky, the Mac may freeze or crash, costing you precious time (or worse: corrupted files). How do you avoid this? There is a simple fix.
First, if the application is launched, you can return to the Finder, then select About This Macintosh from under the Apple menu. The bar graph will illustrate the amount of RAM taken up by the System, and how much is reserved by each launched application and open files. The dark portion of the bar represents the actual am
ount of RAM being used by each program, and the light remaining portion of the bar is how much free space remains for the app to create new documents, make changes to the open documents, or perform other functions. This is the window from System 7.5.5. Newer operating systems may be cosmetically different, but the information should be the same:
If the bar graph shows less than 20 percent light area for the program in question, consider increasing the RAM allocation. In
this example, Microsoft Word needs some additional RAM to work properly. The current amount of RAM allocated for Word is set to 3 Mb, or 3,000 Kilobytes. We
ll increase it
s preferred RAM setting by 20%. Other programs, such as graphics packages, may need significantly more RAM allocated to run well. Returning to the example, we need to adjust the amount of RAM assigned to Word..
How? First, be sure the application you want
to modify is not launched (if so, quit out of the
pplication). Then, highlight the application
with a single click and use the Get Info command
(under the File menu). Finally, select the preferred
memory box in the lower right of the screen, and
increase it
s value by about 25%. Close the box
and try using the application again. On particularly
large applications, this process may necessarily be
repeated several times. Do avoid the temptation
of programming far more memory allocated than
you really need, as this RAM is not availa
ble to
other applications simultaneously.
Leave the minimum size setting set to the default
(original) value. Close the window.

and higher, the Get Info
window has a pulldown
menu rather than a box
in the bottom corner for
setting the RAM allocation

Netscape 3.01 & 4.5 Maintenance: Emptying the cache file folder.
As you know, Netscape Navigator/Communicator is software designed to permit you to view World Wide Web pages, and all of the graphics (pictures) used on the Web. There is a small problem with Netscape not widely known: when you are
surfing
or viewing Web pages, many of the graphics you see are downloaded, or stored, on your Mac
s hard drive. These pictures collect in a special folder, eventually growing to a very respe
ctable size. To periodically free up this used space on your drive, you may want to trash these files.
How? If you are in Netscape, go to your Preferences menu (under Options) and select Network. Click on the Clear Disk Cache Now button (see figure below). This should work. You can double-check the software by manually visiting the Cache
folder for Netscape.
To manually check (and clear) the Cache
folder, Quit out of the program. Follow these instructions:
First, you need to find the right file. It is not in your Netscape Navigator folder. The Netscape cache files are stored in the System Folder. Locate and open the System Folder with a double-click. Next, find your Preferences folder and open it. Locate your Netscape
folder, open it, find the Cache
folder and open it.
Select all of the contents of the Cache
folder, but not the folder itself. Drag the contents into the trash can. Empty the trash. That
s iDft. To speed up Netscape
s operation and clean your drive, do this weekly or daily, depending on need.
Netscape 4.5 has moved some of the commands. To dump the cache, select the Preferences item under the Edit menu. Then, empty the cache after highlighting the Cache item in the Advanced catagory.
Note that some users find Netscape more efficient if the Cache files are kept in a RAM disk, rather than fragmented on the hard drive itself. This also saves battery power if a laptop is running without A/C power.

CD archiving for the Mac
We offer permanent data backup in the form of CD disk recording. CD-ROMs are excellent for storing vast amounts of data in any form for your Mac. Anything you can store on your hard drive can be written to a CD, graphics, scanned images, databases, letters, system files, music, video & more. CDs are stable, reliable media easily read by any computer with a CD-ROM drive.
Specifications: Each CD has the capacity for up to 650 Mb of information, either as single
session or multisession (more than one recording session significantly reduces the available CD capacity).
Cost & Time: The base cost is one hour labor per CD session, with turn-around time usually less than 48 hours. Additional labor charges may apply for extended mastering, if required.
Requirements: You supply the data (recommended on SCSI Zip or Jaz cartridges, although any other format will work), prepared as you would like the information to appear on the finished CD. Aft
er Hours will master the CD to your specifications, and return all original media along with the CD archives upon completion. Special arrangements can be made for the data transfer off of your media; call for additional information.

Why do it? All magnetic media will eventually become corrupt. Hard drives, SyQuest, Bernoulli, Tapes, Floppy Disks, Zip & Jaz cartridges -- they all rely on magnetized particles to hold the information you record to them. Over tim
e, or due to exposure to heat, electrical fields (motors, speakers, magnets, even electrical cords), magnetic media
forgets
what is recorded to it. This may mean just the loss of one file, or the entire disk. Magnetic media also ages, like cassette tapes, slowly losing it
s flexibility and the
quality
of the recording. Occasional maintenance is required to keep a magnetic disk or tape from losing it
s information. This means, you have to make a backup of the information, ref
ormat the disk or tape, then copy the information back on to the newly reformatted media. Most information experts recommend doing this every six months to a year.
CD recordable media has a projected lifespan of 100 years. They can be harmed by scratches, heat from fire or sitting on a hot car dash in the sun, but overall, they are far more resilient than magnetic media. Protect your information permanently with an inexpensive CD backup. Quarterly, semi-annual or annual backups of
Hyour critical and not-so-critical information can save you hours or days of reinstallations, restoration of files, or recreating work. Compare how much your time is worth to how much a simple, elegant CD backup costs, and you

The disk itself is not influenced by magnetic fields, and is more rugged than the typical hard drive, zip, jaz, tape or floppy. Nonetheless, it can be damaged. Here are some things to avoid:
t leave the disk exposed to sunlight or heat for long periods of time. Heat can warp the CD, rendering it useless. Other nasty fates await your CD: organic solvents should never b
e used on or near the CD -- including glass cleaner, nail polish remover, anything stronger than luke-warm water. Scratches and smudges on the bottom side of the plastic (usually, the side without any form of label) can prevent the optics of the drive from reading the CD. With enough force, it can be cracked or shattered. When not using the CD, it is best kept in the plastic case. You may write on the up-side (label side) of the CD -- a felt-tip marker works best.
While some CDs can be
written so that they will boot (start) up a Mac, we recommend that you use the CD mainly for restoring files accidentally erased or as a library, and not as your principle startup volume. The Mac will run slower from a CD, and you will have a less enjoyable Mac experience as a result.

, quit out of all programs, trash the entire cache folder, trash the MacTCP DNR file, restart the Mac, and reprogram in the TCP domain IP addresses.

Before getting an account, you will need a Macintosh
running System 6.0.5 or better, a modem capable of at least 9.6 kbps (baud) and a hard drive. It is recommended that you run System 7.5.1 on at least a 68030-based Mac with a 28.8 kbps modem and a color display. The faster the Mac, and the modem, the more enjoyable your internet experience will be. Surfing the web requires more RAM, preferably 20 Mb or more, with the latest browsers such as Netscape Communicator 4.5.
There are se
veral software components necessary on the Mac for connecting to the Internet. You can get these free from After Hours or most knowledgable ISPs. There are also some system files which should be installed on the Mac. We
ll cover the two most widely used combinations.
Macs can use any commercial service provider available, despite what some ISP technicians may tell you. All you will need from them is the following: the dial in phone number, your log on account name exactly as it is to
be entered into the computer (usually in lower case), the log on password, the email login and password (if it is different than the log on information -- and it usually isn
t), the ISP
s server addresses (these are usually an odd series of numbers, such as 255.255.234.10, and there may be more than one set of numbers so get both or all sets), the ISP domain name (such as geeknet.com), the SMTP, POP, and NEWS addresses, and their technical support number. Some ISPs are scared of Macs, s
o they won
t be able to help you on the phone, but they can tell you if the service is working or down. Just ignore them if they tell you that a Mac can
t use their service -- like most folks, they simply aren
t comfortable with something unfamiliar. If you get in a jam, call us.
Now to program the Mac for talking with the ISP. On Macs running an OS below 8.0 (7.6, 7.5, etc.), disable the Open Transport software and consider using FreePPP 2.53 or later. This software is available f
ree off of the web or, since you probably don
t have access to the web just yet (a Catch-22), from us. You
ll need to install FreePPP and restart your Mac before you can program it. Do that now, if you
re ready. Windows for FreePPP-applicable control panels are presented below. Simply go to the proper control panel and plug in the information as it is given in the examples. Be sure to select SAVE if the Mac askes you if you want to save your settings -- or you will be typing them in
again some day.
To understand programming with FreePPP, take a look at the next few pages (3-5).

After programming your Mac, you
ll want to try out the connection, to make sure all of your settings are properly stored, first restart your Mac. Then, open FreePPP and select the Connect button. You should hear the modem squawk, then the software will

(trade commands and information). Then, you

ed! Hurray!!
After that is working, you can begin to use Netscape or your email client (we recommend Emailer, but Eudora works just as well -- a free version of Emailer is available, along with an older version of Netscape, if you haven
t bought your software yet). Remember: buying the software gives you far more than just the software. The documentation and the right to call the companies for technical support is usually well worth the cost of the package. Be sure to read your instr

Hopefully, when you installed FreePPP, it checked your modem for you. If not you may need to type in the string given here.

If desired, on a monthly basis, we will inspect your system, both hardware and software, for potential problems (viruses, software conflicts, failing components, memory and storage problems, and more) and report to you what was found and what was done to correct any existing or imminent headaches. Or, you can use the allotted time for non-scheduled visits during normal hours, labor, tutoring time, consultations, or any other need.

u or your staff have about your system or software to the best of our ability. This gives you the peace of mind of knowing someone is looking after the health of your business partner. And, it helps reduce billing and invoice paperwork for us both.

Before getting an account, you will need a Macintosh
running System 6.0.5 or better, a modem capable of at least 9.6 kbps (baud) and a hard drive. It is recommended that you run System 7.5.1 on at least a 68030-based Mac with a 28.8 kbps modem and a color display. The faster the Mac, and the modem, the more enjoyable your internet experience will be. Surfing the web requires more RAM, preferably 20 Mb or more, with the latest browsers such as Netscape Communicator 4.5.
There are se
veral software components necessary on the Mac for connecting to the Internet. You can get these free from After Hours or most knowledgable ISPs. There are also some system files which should be installed on the Mac. We
ll cover the two most widely used combinations.
Macs can use any commercial service provider available, despite what some ISP technicians may tell you. All you will need from them is the following: the dial in phone number, your log on account name exactly as it is to
be entered into the computer (usually in lower case), the log on password, the email login and password (if it is different than the log on information -- and it usually isn
t), the ISP
s server addresses (these are usually an odd series of numbers, such as 255.255.234.10, and there may be more than one set of numbers so get both or all sets), the ISP domain name (such as geeknet.com), the SMTP, POP, and NEWS addresses, and their technical support number. Some ISPs are scared of Macs, s
o they won
t be able to help you on the phone, but they can tell you if the service is working or down. Just ignore them if they tell you that a Mac can
t use their service -- like most folks, they simply aren
t comfortable with something unfamiliar. If you get in a jam, call us.
Now to program the Mac for talking with the ISP. On Macs running an OS below 8.0 (7.6, 7.5, etc.), disable the Open Transport software and consider using FreePPP 2.53 or later. This software is available f
ree off of the web or, since you probably don
t have access to the web just yet (a Catch-22), from us. If you are using OS 8.0 or higher, we can properly use the newer technology: Open Transport v1.3 or higher. Windows for OT/PPP control panels are presented below. Simply go to the control panel outlined below and plug in the information as it is given in the examples. Be sure to select SAVE if the Mac askes you if you want to save your settings -- or you will be typing them in again
some day.

After programming your Mac, you
ll want to try out the connection, to make sure all of your settings are properly stored, first restart your Mac. Then, open the PPP control panel and select the Connect button. You should hear the modem squawk, then the software will

e connected! Hurray!!
After that is working, you can begin to use Netscape or your email client (we recommend Emailer, but Eudora works just as well -- a free version of Emailer is available, along with an older version of Netscape, if you haven

The next step is to program the TCP/IP control panel. It can be quickly accessed from the same pulldown menu. You will also find

Now, we need to program which modem is being used by the Mac. Select the Modem control panel either directly, or from the pulldown menu within PPP.
Your internet settings are the special phone numbers and access codes which allow you to get on the net, and use your email and web browser software. Each service provider has a different set of settings, and there are more than a dozen software packages which allow you to connect, use email or browse the web. As a result, this note is not specific to any one package, but is generalized so you at least have a record of the codes necessary to use your services.

If you are having trouble logging on with the PPP control panel, be sure your settings are correct (see above). Also, if you

Some internet problems are not obvious: for instance, most internet accounts prefer lower-case passwords and id

s considered good form to program your PPP to automatically disconnect if you haven
t done anything on the internet after a set period of time, say, 1
Q0 minutes. This frees up a modem on the ISP side for someone else to use. Look at your PPP control panel for this feature.

, quit out of all programs, trash the entire cache folder, trash the MacTCP DNR file, restart the Mac, and reprogram in the TCP domain IP addresses.

conventions we

First, the software supports such features as networking and spell checking only if you have installed a full version of FileMaker Pro version 3.0 or higher on your hard drive. If you are running the demo, these features will not be a
vailable to you unless you already use FileMaker Pro.
Second, all operations within the database are button-driven, with only a few exceptions. The default setting is for the status bar to be left off, and you should avoid using the status bar, although presently that is an option. Use the navigation buttons at the top of your screens for proper manipulation of the data.

This is a help file for your Clients database. The database is designed to assist you in keeping
track of your clients and prospects, along with suppling that information to the appropriate
integrated databases, such as billing invoices and the contact manager, Message.
To select the database of choice, use the upper tier of buttons in the Navigation bar. The file
you are in will be the highlighted button. A greyed-out button is inactive.
The second tier of buttons affect the records in the open file. By selecting New, Find, List or the
navigation arrows, one can conduct operations on the existing one or page through them. New
records are generated with the new button, and a print button will either print the current information
or bring you to a print menu.
Additional menus for viewing information related to this client is accessable from catagory or tab
buttons, such as the lit ones below.
Specialty buttons permit inspecting linked information or specialty layouts. Underlined items also
harbor links to related layouts. For instance, the setup page for Consultant is available via the
depressed Clients button for inspection or editing.

First, launch Netscape Communicator. You will need to open the Preferences window by selecting the Preferences item from under Edit.
Selecting the Mail Servers item permits you to program in your incoming (POP) and outgoing (SMTP) mail information. Since Netscape only permits one POP account, you won
t have multiple choices as you may with dedicated clients such as Emailer, Eudora, Mailserver, or Outlook Express.
To modify the POP setting, you need to highlight the item, then select Edit. See the next page for more information on the POP settings.

After entering in your data, select another catagory item. If you are finished modifying your preferences, select the OK button to save them. Selecting Cancel leaves your settings unchanged.
Enter in the appropriate information for the server name and user name. Be sure to select the Remember Password box or you will forever be entering in your password.
Netscape may ask for the password the first time you attempt to access your email after making changes to your account.
Select the OK button to save these changes, then continue with your other preference modifications, or select OK to be returned to Netscape.
Be sure to test your account. Some service providers have tighter restrictions on how data is entered, and some may require that your data is entered differently, but most should conform to the above standards. Please give us a call if you have any additional questions.

This document describes a simple procedure for programming Outlook Express 4.5 to use an existing email account.. If you do not have an email account already, we suggest that you let us help you with the installation and setup of such an account. Selecting the News item permits you to program in your news service information. This is optional, and only necessary if you use news groups.
Once again, to save your entries, select the OK button. You should be able to send and receive email now.
The Preferences window permits you to view and set how Outlook Express works. If you click on the item called E-mail under the Accounts catagory, you can enter in your name, your email address (and reply to address) and all other required information for your account, if desired. Certain features must have entries, such as the email address, the SMTP, Account ID, POP, and Account name fields. The password is optional, but having to enter your password is a pain, and unless you have spe
9cial security concerns, we recommend entering it here. All entries are case-sensitive, so watch what you type.

This window permits the initial setup or importation of Client data from previous versions of EC or other business database software. To use EC effectively, most users prefer to keep records of their clients (obvious information such as name and address, and not so obvious information such as customer preferences, inventories, notes, billing rates and so forth.
